Make Your Complaint Heard

Make Your Complaint Heard

At some point in time you will be faced with the need to register a complaint because of a poor product or poor service, or maybe even both !

Here are some tips to make sure that your complaint is NOT ignored.

Keep Your Cool

It’s difficult to do this when you are “mad as all get out” but it’s a key step to making sure you’re complaint gets heard. Act reasonably and politely.

Make the person on the other end of your complaint WANT to help you. Losing your temper can cause the other person to become “defensive” instead of cooperative and helpful.

Identify Yourself

Don’t start out with “what” you are - “I’m a lawyer”, “I’m a doctor”, “I’m a trash collector”. Start out with “who” you are - “My name is Jim”. You want them to see you as a person, not just another problem.

Give them your name and telephone number. This allows the other person to respond more effectively and follow-up with results. Remaining anonymous doesn’t establish the one-on-one relationship you need in order to have your problem resolved.

Be Precise

Have receipts and other records available to assist you in giving an accurate account of your complaint. Give them as many details as you can - the date you made the purchase, the store where you made the purchase orencountered the problem, the name of the salesperson you were working with, etc.

Keep a record of the date, time and name of any person you speak with about your complaint. If they are unable to resolve your complaint immediately, ask when you can reasonably expect a follow-up phone call.

Thank You

End your conversation by thanking them for their help. If you have the person’s name you are speaking with, address them by name, “thank you Angela”.

When the problem is resolved to your satisfaction, you may even want to write a simple thank you note. People who work in customer service appreciate this more than you might know.

Use these steps “to your credit” the next time you have a complaint, and you’ll have greater success and results.

I recently had an eye examination at Walmarts in Naugatuck, Ct and also ordered a pair of glasses there which I thought would cost me less than they did (almost $400.00) A week later I went in to pick them up only to find they were made wrong as I could not see out of them. They are now being remade (it' a week now) and to say the least, I am very disappointed. I should have thought twice about purchasing them there as there was a woman bringing hers back as she had the same problem. Please consider doing something about this.
Thank you, Raymond Jurzynski

My name is Sherman Cooper and I purchased Hanson windsows in Detroit about 2001. I was told these windows were top of the line. I had just moved into my house in August of 2001, and in October of 2001 a representative came out to discuss new replacement windows, I could not afford new windows at the time and more or less pressured into buying the window. I thought afterwards it would be a good investment for the house and save money in reducing the heating bill in the winder. Little did I know that the windows would cost nearly $4000.oo (which I am still paying for )and that they don't help in reducing the heating cost. I have had to call Hansons twice to come out and seal the windows in which they did come out, however, they still leak air. They did not even use insulation around the windows before setting them in they only calked around the windows. I would think I could have received better service with Pella windows at the price I paid for these window. signed still cold and very unsatisfied!

I was in your new store in Port Arthur, Texas. (appx 10:30 to 11:00 am). As I approached the front after shopping I noticed that there was only one checker at the customer service line. I got in line behind 8 to 10 people. I waited for about 15 minutes and a young man entered the store and started yelling at the clerk (you could tell he knew him because he call him by name). They were carring on a conversation so loud that it was rude.

I was also aware of a man that seemed to be a manager or assistant manager showing a young girl something about the register. He was aware of the situtation and simple smiled at everyone in the line and walked away with the young girl.

I waited for another 15 minutes then I left the store with my selection in the basket. I don't feel that this manager or clerk acted very professional in this matter.

I regret that I will not be shopping at your store again.

I want you to know that I am not mad only disapointed.

Sincerely,

Evelyn Hale
